DARDEN TRANSACTION COORDINATION PACKAGE:

INTAKE TASKS

  • Review the executed contract to confirm all signatures, initials, and dates.

  • Send a “Welcome to Contract” email introducing all parties and outlining next steps.

  • Enter key milestones and dates into your system or calendar for active tracking.

  • Upload all initial documents to the broker file to meet compliance requirements.

  • Verify all buyer/seller contact details and brokerage information for accuracy.

CONTRACT MANAGEMENT

  • Confirm earnest money receipt and track all key dates, including due diligence, financing, appraisal, and closing.

  • Communicate with lender, title/attorney, and co-op agent to share updates and next steps.

  • Track contingencies, schedule inspections, and coordinate repairs or addenda to stay on schedule.

  • Request and monitor delivery of HOA or condo documents; follow up promptly on delays.

  • Prepare, route, and record amendments or addenda, ensuring full execution and compliance updates.

  • Send detailed email requesting home warranty selection and follow up until selection is made.

PRE-CLOSING

  • Provide clients with reminders to connect or disconnect utilities and secure homeowner’s insurance.

  • Verify loan commitment with the lender and flag any underwriting issues early.

  • Coordinate with the closing attorney to review the preliminary title report, confirm HOA/COA status, ensure all payoffs are ordered, and verify that any liens or title issues are cleared before closing.

  • Schedule the final walkthrough and confirm date, time, and access details with all parties.

  • Confirm that all amendments, contingencies, and addenda are completed and fully executed prior to closing.

  • Track Closing Disclosure (CD) delivery to the buyer to ensure compliance with Georgia’s three-business-day review period.

CLOSING & POST CLOSING

  • Confirm the final closing date, time, and location with the closing attorney, lender, agent, and client.

  • Review the final Closing Disclosure or ALTA statement for accuracy and ensure all signatures and funding authorizations are complete.

  • Obtain and upload the final signed documents to the broker’s system of record for compliance.

  • Send a personalized congratulations message to buyers or a thank-you message to sellers, including links to request a review.

  • Design and deliver optional “Just Sold” postcards, with postage billed separately.

  • Add the client to your contact database with their new address and email for continued follow-up and marketing campaigns.

  • Order and review the title report. Notify you of any issues and help to resolve.

  • Schedule final walkthrough and closing with your clients, the title company and you.

POST CLOSING

  • Obtain final signed closing disclosures and upload to your system of record.

  • Provide a congratulatory letter to your buyer(s) or a thank you letter to your seller(s) prompting them to leave a review for you with clickable links.

  • Design Just Sold postcards and send out to the demographic of your choice (postage paid separately).

  • Add client to your contact database with new address and email to be added to your past client drip campaign.
